Function of Position

This position is responsible for the efficient operation of the administrative office

Essential Responsibilities and Job Duties

    • Provide high-level operational and administrative support to the Executive Director (ED)
    • Coordinate and facilitate staff, board, and funder meetings (scheduling, food, space, technology set-up, taking minutes, etc.)
    • Support ED before and after key meetings with content, action items, and tracking
    • Perform donor database maintenance
    • Assist in preparing grant application submissions and monitoring compliance with grant agreements
    • Participate in the design and editing of external communications
    • Answer multi-line telephone system and screen calls for staff
    • Ensure office organization and efficiency including ordering supplies
    • Maintain administrative filing system
    • Respond to hospital calls and act as back-up for shelter advocates on nights/weekends (one week every other month)
    • Respond to requests for information from the Woodland Home archives
    • Provide crisis-intervention and other direct services to clients
    • Take Scarlet (shelter dog) for daily walks, weather permitting
    • Other duties that support the mission of Quanada


  • Bachelors Degree-Human Services or related field preferred but not required
  • At least two years’ experience in a role serving clients or customers, preferably in an office setting
  • Strong computer literacy with knowledge of MS Office applications, Slack, Google Workspace, Flipcause, Zoom, Weebly, DocuSign, Survey Monkey, Facebook, and Instagram
  • Superior organizational skills including excellent written and verbal communication
  • Ability to work as part of a collaborative team
  • Ability to maintain a professional and empathetic demeanor in dealing with a variety of different constituents
  • Flexibility, adaptability, and the ability to remain detail-oriented in an environment in which change can happen quickly
  • Experience handling confidential information and materials
  • Passion and alignment with Quanada’s mission and values
  • Willingness to commit to a self-care plan to mitigate harm from vicarious trauma
