JWCC Community Education Internal Procedures

Types of Instructors
John Wood Community College utilizes campus faculty and staff, as well as community members, to instruct Community Education’s wide variety of courses. Anyone with personal or professional expertise in a particular subject area may be considered to teach a community education course. Course Submission
All instructors, both new and continuing, must complete a Course Proposal Form for each course he/she wants to propose, and send it to Community Education, along with all of the necessary documentation (i.e., resume, course outline, necessary supply list, etc.).  

Course Approval
After all the necessary information is received for a course proposal, the Community Education staff will evaluate the materials and follow up with the instructor to clarify any questions. The Dean of Career & Technical Workforce Education gives final approval for courses.  Upon completion of the full process, instructors will receive written confirmation in the mail or via e-mail.

Course Marketing
After courses are approved/confirmed, Community Education begins the marketing  process by a direct mailing of a noncredit course booklet.  The booklet includes basic course data such as title, date, time, and fees, and is distributed 5 times per year, twice a semester and once in the summer.

The Community Education website will include all of the basic course information, including a course description and the instructor’s name.  Referrals to our web page are encouraged via telephone messaging, staff members, direct mail, etc.

Holding Courses-Minimums & Maximums
Community education courses may have anywhere from three to 30 people enrolled.  Big numbers are great, but they are not always realistic, especially for new or first-time courses. Community Education has set a six-person minimum for all courses.  Instructors are welcome to teach for less than 6, but should the minimum of 6 be reached instructors are expected to teach the course.

Class Cancellations
Enrollment for each class will be reviewed two (2) working days prior to the class start date.  At that time, Specialists will notify the instructor of enrollment and a determination will be made as to whether or not the class will be held.  You may ask for periodic enrollment updates but no cancellations will be made until two working days prior to the class start date.

Class Submission Timeline
The Community Education office must follow a timeline in order to create class schedules, reserve classrooms, create marketing materials, and distribute to the public.  Therefore, when submitting your paperwork, keep in mind the following dates:

Pay
You will receive your check after your class is completed in its entirety.  Instructor Pay is based on the course fee, number of participants and expenses. Please refer to the Instructor Pay Formula.  Processing your check may take two weeks to one month after your class ends.  In order to receive pay, you must submit your class roster after the first night of class – please return to the mailbox in Room D131 marked “drop off”.  This is the appropriate document we must have in order to submit paperwork to HR.  Any delay in submitting the class roster will delay your pay. 

Human Resources Process for New Instructors
Once we have received your information and approved the class(es) you wish to teach, your information will be sent to the JWCC Office of Human Resources.  You will receive a letter with enclosed forms for you to complete prior to meeting with the Employment and Training Specialist.  You will need to contact the Human Resources Office to make an appointment to complete your employment process.  Please complete your paperwork at least two weeks before your class starts so that your contract may be approved and not delay processing your paycheck.
