Job Description:
We are seeking a highly organized and motivated Office Manager to join our team at a thriving outpatient substance abuse clinic. This individual will play a vital role in the day-to-day administrative operations of the office and contribute to a professional and welcoming environment for both clients and staff. Key Responsibilities:

  • Manage the day-to-day operations of office environment (answering phones, interacting with clients in a professional and courteous manner)
  • Open, maintain, and close client files according to clinic protocols, ensuring all client files are complete and accurate before closure
  • Perform Medicaid billing accurately and efficiently, confirming that clients meet billing criteria
  • Ensure client privacy is upheld in all aspects of the role (HIPPA compliance)
  • Input and send invoices in a timely manner
  • Process client payments and complete regular bank deposits
  • Manage client records and internal Hopewell documents to ensure accuracy of information and compliance with state licensure requirements
  • Use Microsoft 365 applications for administrative tasks and communication
  • Order office and medical supplies as needed
  • Prioritize and manage multiple tasks simultaneously
  • Provide excellent customer service and act as a collaborative team player
  • All other duties necessary to ensure the continued operation and success of Hopewell Clinical

Qualifications/Skills:

  • Passionate about helping individuals struggling with addiction and other behavioral health issues
  • Pleasant and compassionate disposition. Strong communication skills and ability to interact with clientele in a positive, professional and helpful manner
  • Proven experience in office administration, preferably in a medical or behavioral health setting
  • Proficient in Quickbooks and Microsoft 365 (Outlook, Word, Excel, Teams, etc.)
  • Strong organizational skills, attention to detail and ability to multi-task
  • Familiarity with Medicaid billing procedures (preferred but not required)
  • Experience with electronic health record systems (preferred but not required)
  • Ability to handle sensitive and confidential information with discretion
  • High school diploma/GED or higher

This is an on-site position in Hopewell Clinical’s Quincy, IL office. Hopewell Clinical is a client-centered outpatient clinic with multiple locations across the region. Offering both in-person and telehealth treatment services, Hopewell Clinical is a rapidly expanding center with a growing need for committed, enthusiastic staff members. The successful candidate must be professional, compassionate, and comfortable working in a collaborative and fast-paced environment. The ideal candidate will be able to multi-task effectively with an emphasis on attention to detail.
